These Terms and Conditions govern the booking and use of production services provided by AIB Network / AIB Studios (“AIB,” “we,” “our,” or “us”) by the client (“Client,” “you,” or “your”). By booking services with AIB Studios, you agree to the following terms.
Services
AIB Studios provides production-related services, which may include but are not limited to:

Studio A (1600 sq ft. Sound Stage)

Studio B (Audio Recording Room)
-
Field Production
-
Podcast Studio
-
Other production services as agreed in writing
All services are subject to availability and confirmation by AIB.
Booking and Scheduling
Bookings are confirmed only after approval by AIB and receipt of any required deposit or payment. Scheduled production time includes only the time reserved by the Client and approved by AIB.
For Studio A, Field Production and Podcast Studio, service charges include reasonable setup and breakdown time for the client’s set, unless otherwise agreed in writing. The service charges begin at the scheduled production start time.
Rates and Payment
The Client agrees to pay all fees associated with the services booked, including hourly rates, production fees, cancellation fees, storage fees, expedited delivery fees, and any other applicable charges.
Full payment terms, including deposits and balances due, may be outlined separately in the booking confirmation or invoice. AIB reserves the right to withhold delivery of footage or services until payment is received in full.
Cancellations and Schedule Changes
Any cancellation or change to scheduled production time must be submitted at least six (6) business days in advance of the scheduled production date. Business days are defined as Monday through Friday, excluding holidays.
The following fees apply to cancellations or schedule changes:

6 or more business days before scheduled production: no cancellation/change fee

3 to 5 business days before scheduled production: $100 fee

Less than 3 business days before scheduled production: $150 fee
AIB reserves the right to charge additional fees if a cancellation or rescheduling causes loss of reserved studio time, staffing, or other production resources.
Client Property and Storage
AIB has limited space for the storage of client sets, props, equipment, media, or other property. Any property left at an AIB facility is left at the owner’s sole risk.
AIB is not responsible for any loss, theft, or damage to items left on the premises.
Any client property left on AIB premises for more than two (2) weeks after production is completed will incur a storage fee of $50 per week.
Any property left on AIB premises for more than thirty (30) days after production is completed may be discarded, removed, or otherwise disposed of at AIB’s discretion, without liability to AIB.
Media Delivery and Footage Retention
Unless otherwise agreed in writing, AIB will deliver client footage by one of the following methods:

WeTransfer, or
-
transfer to a client-provided external hard drive approved by AIB
Standard delivery is included unless otherwise specified. Expedited delivery within 48 hours may be available for an additional fee.
As a courtesy, AIB may retain client footage for up to thirty (30) days after delivery arrangements are made at no charge. Continued archival storage beyond thirty (30) days is available upon request with cost associated:
- $25.00 per month per project
- $250.00 annually
Retrieval of archived files after initial delivery (30 days after) may be subject to a $75.00 file restoration fee.
After 30 days, footage may be permanently deleted or purged, whether or not the Client has retrieved or downloaded it. The Client is solely responsible for securing and backing up all delivered files.
Returned Payments
If any payment made by the Client is returned, rejected, or otherwise dishonored by the financial institution on which it was drawn, AIB may require all future payments to be made by certified funds or another approved guaranteed payment method.
The Client is responsible for reimbursing AIB for any bank charges, returned payment fees, or related administrative costs incurred as a result.
Client Responsibilities
The Client agrees to:

provide accurate booking information (fill-out pre production forms required by AIB Studios)

arrive on time and be prepared for the scheduled production

ensure all guests, talent, crew, and representatives comply with AIB’s studio policies

remove all personal property, sets, props, and equipment promptly after production unless otherwise approved
The Client is responsible for any damages caused by the Client, its team, guests, contractors, or invitees during use of the facility.
AIB Studio Policies
AIB reserves the right to enforce reasonable studio rules, operational requirements, safety procedures, and conduct standards at all times. AIB may deny, suspend, or terminate services if the Client or its representatives violate studio policies, interfere with operations, create unsafe conditions, or damage AIB property and/or reputation.
Limitation of Liability
To the fullest extent permitted by law, AIB shall not be liable for indirect, incidental, special, consequential, or punitive damages arising out of or related to the services provided, including but not limited to delays, data loss, media loss after the retention period, property loss, theft, or damage.
AIB’s total liability for any claim related to services shall not exceed the total amount actually paid by the Client for the specific services giving rise to the claim.
No Guarantee Outside Agreed Services
AIB will provide the booked services in a professional manner, but does not guarantee any specific business, creative, commercial, or distribution outcome resulting from the production.
Governing Agreement
These Terms and Conditions, together with any booking confirmation, invoice, service order, or signed agreement issued by AIB, constitute the understanding between the parties regarding the booked services.
AIB may update these Terms and Conditions from time to time. The version in effect on the date of booking will apply unless otherwise stated in writing.
